Friday Focus #65: How to Reactivate Chiropractic Patients Without a Mass Text

How to Reactivate Chiropractic Patients Without Sending Another "We Miss You" Text
Welcome to Friday Focus → a weekly series I started on Instagram in 2023. Every Friday I drop ONE clear focus for chiropractic teams (TGIF... Today's Goal Is Focused). This is part 65, now on the blog so more teams can use it. New here? → let's grow. 🌱
If you are a D.C. reading this → send this to your team. Reactivation is one of the fastest ways to refill next week's schedule, and your C.A. is the one who makes it happen.
If you are a C.A. reading this → this is your quiet superpower. Let's use it today. 🎯
The best way to reactivate a chiropractic patient is not a mass "we miss you, come book" text. It is ONE real phone call that connects first and invites second. Pull up your patient list, find someone who has drifted, get the exact date of their last visit, and actually CALL them → not to pitch, to check in. Ask how they ARE and then LISTEN. The invitation back does not come at the start. It comes naturally at the end, after they have felt genuinely cared about. That is not a sales call. That is a HUMAN call. And it quietly refills the schedule every single week.
Patients Do Not Drift Because They Were Not Loved
Let me say the part most offices skip.
Patients do not drift off because they stopped caring about their health. They drift because life got loud and nobody walked them forward.
Right now, someone who used to come to your office is thinking about their neck. Their back. That twinge they have been ignoring for weeks. They just have not picked up the phone.
So what if the phone picked THEM up first?
The sharpest offices I know do not wait for patients to remember them. They remember their patients first. 🎯
Why the Mass Text Does Not Work (and What Does)
Most offices reactivate the same way → a blast text to 400 people. "We miss you! Come book!"
And then everyone stares at the phone waiting for it to ring.
The unpretty truth is that a mass text feels like exactly what it is → a mass text. It asks the patient to do all the emotional work of deciding they matter to you.
A real call does the opposite. It shows them they mattered enough for a human to stop and think of them by name.
Average teams send the mass text and hope somebody bites. Connected teams pick up the phone, connect first, THEN invite... and quietly refill the schedule while everyone else keeps waiting.
Today's Focus: Make ONE Real Reactivation Call
Here is your Friday Focus. You do not have to call 20 people. You have to call ONE. Today.
🎯 1. Pull up your patient list. Who has drifted off? Whose name just popped into your head? Start there.
🎯 2. Look at their account. Get the EXACT date of their last visit. "It has been three months." "It is almost been a year." Specifics show you actually looked.
🎯 3. Pick up the phone. Actually CALL. Not a text. Not an email. A real voice.
🎯 4. Open with the human, not the pitch. "Hi [name], you popped in my head today. It has been [X], and I just wanted to check in. How ARE you?"
🎯 5. Then LISTEN. Genuinely. Do not pitch. Do not rush to book. Just connect. Let them tell you about the new job, the kid, the move, the back that has been bugging them again.
And THAT is when the invitation lands, naturally → "Sounds like a lot on your plate. Want me to get you back on the schedule this week? I will take care of you."
One genuine call = one refilled slot on next week's schedule. And often one warm referral too, because that person tells someone else you called just to check in.
The Power of the Pause
Here is the piece that makes or breaks the call → the pause.
After you ask "how ARE you?" → stop talking. Let it be a little quiet. Most people are so used to being sold to that a genuine question catches them off guard in the best way.
The pause is where the real conversation lives. It is where they tell you the thing they did not plan to say. And that thing is almost always the reason they will come back.
Connection is the conversion. You do not talk a patient back into care. You connect them back into it.
A Reflection Question Before You Keep Scrolling
Pause here for a second.
Whose name just came to mind while you were reading this?
There is usually one. A patient you have been meaning to call. Someone you keep thinking "I should check on them."
That was not random. That is your ONE call today. 🎯
For My D.C.s Reading This
Doc, with love → reactivation is not a marketing line item. It is a leadership habit.
When a patient stops care, it is never just one visit lost. That patient is surrounded by a network of people, a family, a circle of friends who could have gotten care too. When they drift, that whole network drifts with them.
So do not hand your C.A. a script and walk away. Give them the time and the trust to make one real call a day. Protect that time on the schedule like it is a patient visit, because it is bringing patient visits back.
Lead like you love them, and watch your team lead your patients the very same way.
For My C.A.s Reading This
If you are a C.A. reading this → you are so much more than a scheduler. You are the reason patients feel remembered.
And I have watched this work in real time. One of my C.A.s, Erica, made a reactivation call and the patient called back the very next morning and said, "It is like you put it in the universe." Another C.A., Hillary, reactivated a patient who then referred her own husband on the spot.
One call. That is all it takes to start a ripple. A no is always a not yet, and a check-in today can become a full care plan next week.
You do not need permission to care out loud. Pick up the phone. More is already yours.
Frequently Asked Questions
How do you reactivate inactive chiropractic patients?
Pull up your patient list, choose someone who has drifted, note their exact last-visit date, and make one real phone call. Open by checking in on them as a person, listen genuinely, and only invite them back at the end once they feel cared about. One human call refills the schedule far better than a mass text.
Is it better to call or text patients to reactivate them?
Call. A mass text feels impersonal and asks the patient to do the emotional work. A real phone call shows them a human stopped and thought of them by name, which is what actually brings people back to care.
What do you say on a chiropractic reactivation call?
Lead with the person, not the pitch. Something like, "Hi [name], you popped in my head today. It has been [X] since your last visit and I just wanted to check in. How ARE you?" Then pause and listen. The invitation to reschedule comes naturally at the end.
How many reactivation calls should my chiropractic team make a day?
Start with ONE real call a day. Consistency beats volume. One genuine call per day quietly refills next week's schedule and often produces a warm referral, without the burnout of a giant calling campaign.
The Big Takeaway
Reactivation is not a campaign. It is a conversation.
You do not have to call 20 people to change your week. You have to call ONE, and you have to mean it.
Connect first. Invite last. Watch the schedule quietly fill.
Success loves action. And success loves YOU.
Let's grow. 🌱
