Friday Focus #67: The Chiropractic Referrals Hiding in Your Patient Charts

Miranda Dancisin teaching chiropractic teams how a blank patient chart field costs referrals.

The most COST-EFFECTIVE new patient your office will ever get is the family already sitting in your current patient's chart.

Let that one breathe for a second.

The fastest way to get more chiropractic referrals is not a new campaign, a new sign out front, or a bigger ad budget. It's confirming the family information already sitting in your patient charts... the spouse, the kids, the people your patient goes home to every single night. When those fields are blank, your team is guessing. And you cannot lead a real referral conversation off a blank field. When those fields are CONFIRMED, every patient in your chair becomes a warm introduction to two, three, four more people who need care. That's the whole move. Today's Friday Focus is that move.

Why complete patient records outperform any ad you'll ever run

Quick gut check.

If a brand new C.A. (or a coach like me) pulled up one of your patient charts right now... could they tell you if that patient has a spouse? Kids? Or is the field BLANK, and everyone's been guessing and assuming for months?

A blank field feels harmless. It isn't. A blank field is a page torn out of your patient's story. Maybe they forgot to fill it out. Maybe it's outdated. Maybe someone skipped it on a busy Tuesday and it never got fixed. Either way, your team is leading patient care with half the picture... and you can't invite people you don't know exist.

Think about it like a GPS. Your C.A. can be the warmest, most caring person in the building. But if nobody typed in the destination, all that good energy just drives in circles. The chart is the destination. Fill it in, and suddenly your team knows exactly where every conversation could go.

Where I found this... in a real office

I also coach offices in-person. There's nothing quite like sitting elbow-to-elbow with the C.A., going through their actual patient charts, one at a time.

That's when I first saw the blank field for what it really is.

I was doing a full-day in-person training in San Carlos, CA recently, sitting at the C.A.'s desk, and we started auditing charts together. Spouse. Kids. Blank. Blank. Blank. Sometimes filled in during intake. Almost never revisited. Not because the team didn't care... they cared DEEPLY. Because nobody had told them the CONFIRMATION was where the referral conversation actually lives.

We started confirming fields together that same afternoon. And the moment the team started ASKING patients about the people they go home to, real conversations opened up. That's when it hit me. Cost-effective new patients don't come from ads. They come from the people already on your table.

Today's focus: the 5-minute chart confirm (do this TODAY)

This is not a project. It's not a system overhaul. It's one quick win your team can run in the next 15 minutes between patients. Here's the exact focus:

  1. Pull up any patient chart. Start with the very next patient walking through your door.
  2. Spouse field blank? Confirm it. No partner = write N/A, so it reads as confirmed, not skipped.
  3. Kids field blank? Confirm it. No kids = write 0. Don't leave it for the next person to guess.
  4. Already listed? Double-check the NAMES are actually in there, not just a number. "2 kids" is a stat. "Owen and Lucy" is a relationship.
  5. Next patient, open with warmth: "We're updating our records today... let's confirm a few things on your account real quick 😊"

Five small checks. One deeper connection with every patient in your chair. That's it.

For my D.C.s reading this

You already lead. You already invest in coaching. You already show up for your team in ways most doctors don't. Truth over comfort though... this Focus isn't about doing MORE. It's about seeing something you cannot see from the adjusting table.

Two of you are reading this right now. I want to talk to both.

If you're the D.C. feeling the pinch of a slower-than-usual month... before you spend another dollar on ads, a new sign, or another referral bonus program, pull up 10 patient charts. Look at the family fields. You'll likely find a pattern of blanks staring back at you. Fill those in first, and watch what happens to your schedule BEFORE you spend a nickel externally. You may not have a lead problem at all. You may have a chart problem. And that one you get to solve for free, today.

And if you're the D.C. who's already crushing it... who lives inside the business podcast on the drive in, who runs your office like the CEO you actually are... this is the layer that separates a phenomenal practice from a legacy one. You can run a phenomenal office on numbers. You build a referral MACHINE on names. Bigger is available to you. It's sitting in a chart you walked past this morning.

Both of you: your office already leads with connection. AND there's a deeper layer of connection sitting inside a field you haven't confirmed. What you've built is real. There is still more available to you.

So try this one line at your huddle today:

"Let's confirm the family fields on every chart we touch. Come to Friday's huddle with ONE patient who surprised you."

Then ask this question out loud in the huddle: "Who did you learn something new about this week?" Watch what happens to the room.

One frame I want to gently name, because I love you enough to:

Handing your team this task is delegating. Handing it over and never circling back is abdicating. You already know the difference. I'm just saying it out loud so you can trust your team even MORE... because when the standard stays with you and the execution stays with them, that's when everything sings. Does that make sense?

What a blank field really costs

Let's not sugarcoat it. Every blank field is a conversation that never happened.

Your patient mentions their spouse's back has been "acting up for years." A guessing team nods and moves on. A connected team says, "You know we treat couples all the time... let's get them checked. When's good for both of you?" Same moment. Completely different outcome. One let the person walk out the door with the exact care their whole family needed still on the table.

And remember what a patient actually IS. Not a chart number. A human being, surrounded by a network of people who love them. When that patient gets great care and nobody ever asks about their people, the whole network loses the chance to feel this good too. Their spouse keeps hurting. Their kid keeps slouching. That's the real cost. It was never about the referral stat. It's about the grandma, the husband, the 12-year-old who could've started care two months sooner.

❌ Guessing teams let the blank field stay blank and hope it works itself out.
✅ Connected chiropractic teams CONFIRM it today... and turn "yes, I have two kids" into next week's backpack check AND next month's referral.

For my C.A.s reading this 🤗

You are not now, nor will you ever be, "just the front desk." You're the reason patients stay, refer, and believe. This move? This is you LEADING, not just working.

You don't need a script to memorize or a pitch to force. Pushy isn't asking another question. Pushy is FORCING. Confirming someone's family is the opposite of pushy... it's you saying, "I see your whole life, not just your spine." That's connection with a direction. That's you turning connection into collections without it ever feeling like sales.

Try it with just ONE chart today. Watch how the patient lights up when you remember their kid's name next visit. That's the magic. You already have it in you.

Proof this is available to YOUR office too

I'm not guessing at this. I spent 20+ years turning connection into collections from the C.A. chair... $348K collected in a single month, named C.A. of the Year twice, all built on knowing my patients like family, not filing them like paperwork.

And it travels. One office I coach reactivated a patient who referred her husband on the spot, same call. That's what happens when your team knows the people in your patient's life and actually asks about them.

So ask yourself the real question: Are you the office that guesses about your patients... or the office that KNOWS them? Because the offices that grow the way you want to grow aren't the ones with more patients. They're the ones who know more about the patients they already have.

Your conviction is your collection. And it starts with one confirmed chart.

Frequently asked questions

How do I get more chiropractic referrals from my current patients?
Start by completing the family information in your existing patient charts. Confirm each patient's spouse, partner, and children by name, not just a number. Once your team knows who your patient goes home to, they can lead natural, caring conversations that invite those family members in for care. Complete records turn everyday visits into referral opportunities without any pushy asking.

Why do complete patient records matter for chiropractic referrals?
A blank family field means your team is guessing about the people in your patient's life. You cannot invite someone you don't know exists. When the spouse and kids fields are confirmed, every patient becomes a warm introduction to two, three, or four more people who need chiropractic care.

What should a chiropractic assistant say when updating patient records?
Keep it warm and low-pressure: "We're updating our records today, let's confirm a few things on your account real quick." Then confirm spouse or partner status (write N/A if none) and children (write 0 if none), and make sure real names are on file, not just a count.

How long does this front-desk referral move take?
About five minutes per chart, and it fits between patients. This is a same-day quick win, not a systems project. Confirm the family fields on the charts your team touches today and you'll have referral conversations opening up by next week.

Your one move before you close the tab

You don't need more patients to grow. You need to KNOW the patients already sitting in your files. The blank field isn't a paperwork problem. It's a growth opportunity you've been walking past.

Confirm one chart today. That's the entire assignment.
